How to extract audio from video files

While we accept either audio or video files for transcription, clients on the other hand may be in a big hurry lots of times, or may have a slower internet connection for whatever reason, and so handling and uploading audio files which are smaller in size, gets much easier for them. There are plenty of easy ways to extract audio from video, some of which we are going to share today for the benefit of our readers and clients.

One of the easiest ways to convert video to audio is if you’re using any sound editing software, for example Sound Forge or Sony Vegas, you can simply open the video file, and then “Save As” an MP3 file or any of the number of different audio formats. If not, then here are some free and equally easy ways to extract audio from video files:

1. Extracting the sound from a video with VLC
Click on Media, scroll to Advanced Open File.
In the File Tab, click on Add and select the video.
Click the Convert button
On the next window, enter the output path.
Select the encapsulation method WAV.
Once the WAV file is created, it is possible to convert it to a number of formats, including MP3.

2. Audacity:
Audacity is one of the best known open source (free) audio editing software and cross-platform, meaning it has versions for Windows, Mac and Linux. While there may not be a direct way to do it, this software is very feature rich, and can be used to extract audio from certain video file types.

3. IExtractMP3:
You can Google the name of this software and then download it from there. This one is for Apple Mac users, and it can extract the sound from FLV files. It doesn’t reduce the quality of audio while extracting it.

4. Pazera Audio Extractor:
Link here. This is free software to extract audio from video files. As of now, it works with Windows only and can extract audio from a variety of file formats like AVI, WMV, VOB, MP4 and more. The output formats could be MP3, WAV, WMA, AAC etc. The best thing about this software is that it comes with some pre-defined settings, and is straightforward and very easy to use. You can even use it to convert audio from one format to another.

How to Prepare for a Seminar Transcription

Seminar transcription is required regardless of the type of business one is running. This is because for every business to grow, the professionals involved require occasional seminars on capacity building. A seminar can be organized by inviting a speaker on a specific topic or sending some participants in an already organized workshop or seminar outside the company. In both cases, recording the entire seminar proceedings is important as the future employees and those who missed the particular seminar can refer to the recordings made. This helps in avoiding having the same seminar on the same topic hence saving money and time. However, in order to have a perfect seminar transcription that remains relevant to the business for years, here are some tips on preparing for one.

Identify the appropriate venue
In order to have a perfect seminar transcription, it is important to identify the right venue. The venue for the seminar determines the quality of recording hence the nature of transcription. It is advisable to hold the seminar for capacity building in a business in a quiet environment. Therefore, the venue should be away from a noisy shopping center, major airports, roads and schools among other noise prone areas. This helps in having recordings that are noise free and clear for the transcriptionist to hear all the details.
Acquire the right recording tools
The recording tools determine the quality of transcription done on a recorded seminar file. There are recorders that make some noise that hinders one from hearing parts of the recorded words. In addition, a microphone is necessary in enhancing the quality of the recording in the seminar as the speaker does not have to shout in order to have a clear recording. Thus, for a high quality transcription, it is important to have digital recorders and microphones way before the seminar date. Also, they should be tested to ensure that they are functioning well before the actual day for seminar. This helps in providing the desired quality for seminar transcription.
Contract a transcription company
To ensure that the seminar transcription is of perfect quality, it is advisable to identify and make an agreement with a transcription company. It should be noted that there are many transcription companies in the market but they offer varying quality of services. Therefore, it is important to identify the right transcription company with skilled and experienced transcriptionists who have a long standing history of providing uncompromised quality of transcriptions. Once a contract has been signed in advance, one can be assured that the seminar transcription with meet the desired quality.

Benefits of audio transcription services

Audio Transcription Services are involved with the conversion of recorded information (sound from audio or video files) into transcripts (written version of spoken words).
That is, a professional audio transcriptionist (either a human typist skilled to do so, or just a computer program as we have these days), listens to the sound from an audio or video file and puts into words, everything said by the speaker. Usually, the type of transcription required would be indicated based on the following guidelines for the audio transcription:

1. Alterations in sentences to correct grammatical errors, and/or
2. Words to be omitted.
Audio transcription itself has been classified into three, they are;
1. Non Verbatim Transcription Services,
2. Verbatim Transcription Services, and
3. Intelligent Verbatim Services.
Non Verbatim Transcription is designed to omit false starts and sentence filers such as; “uh”, “uhm”, “You Know”, “like”, “You know what I mean” etc, all repeated words, stutters and stammers and all non standard languages.
Verbatim Transcription Services, as the name implies, dubs the sounds, word for word. It will includes those words or expressions normally excluded from the non verbatim transcription. Even adding action sounds such as throat clearing, coughing, and details of disruptions.

5. Educational transcription is the process used by students to convert audio recorded lectures delivered by deans, professors, teachers, lecturers etc. at classrooms and halls of universities, colleges, schools etc., or at seminars, and field trips.
Back in the days, before computers and their utility programmes became regular household appliances, transcription was a difficult job, as it was mainly performed by appropriately skilled office secretaries or journalists who had to write down the speech as they heard it using advanced skills, like shorthand. The introduction of cassettes tape and portable recording devices made the work a lot easier and new possibilities emerged. These Cassettes were small pieces that could be mailed within locations which meant that for the first time, transcriptionists could have the work brought to them in their offices or homes.
But then, with the advent of the Internet and it’s business scopes, the high demand for Audio transcription services,  has made necessary the accretion of websites specilised in transcription services. .

Benefit from Documentary Transcription Services

Documentary transcription services are a must to have in any production industry. This is more so important for the television channels who record documentaries in form of audio-visuals. The documentaries are unearthed stories covered by the journalists in a certain field. They can be about cultural practices of a group of people, nature in terms of forests, animals, seas and rivers. Documentaries makes the television or radio channels popular as the audience can always expect to discover something new apart from the regular 24hour news. However, in order for a documentary to make the desired impact, it is important to have it transcribed. Here are the different aspects added into a recorded audio or visual-audio documentary file through transcription.

Subtitles

When running a documentary without headlines it becomes difficult for the audience to follow. However, this is a scenario that can be avoided through transcription services. In this case, the transcriptionist adds subtitles that divide a long documentary into several sections. This makes it easy for the audience to understand the contents of the documentary and to expect what to come next through the subtitles. The transcriptionists listen keenly to the documentary taking note of the different sections depending on the development of the story highlighted.

Multilingual translations

Hiring a professional for documentary transcription services make it possible to have multilingual translations. This is important for the documentaries being run by the international media houses. This is because the contents of the documentary need to be understood by audience who use different languages. Here, the transcriptionist transcribes the recorded files into the original language and later translates the contents into different major or desired languages. This makes the documentary relevant to people from different language speaking regions in the world.

Notes for narrator

The quality of a documentary is improved by having a narrator introducing its major parts. This can be made successful by providing the narrators notes that match with the particular parts of the documentary. By making use of the narrator’s notes, the nominated narrator introduces the different sections of the documentary in the background when it is still running. The narrator’s notes can be translated into different languages used by the target audience.

Providing texts for the inaudible parts

The transcriptionists take note of the inaudible parts of the documentary and make some texts on the same. When the transcriptionist finds it difficult to hear some parts of the documentary, they have a chance to rewind till when they grasp the words. The transcription then makes some text of the same that should run on the screen for the views to understand exactly what has been said.

How to Proofread Your Transcriptions

When a transcriptionist simultaneously listens to an audio file and types a business transcript, mistakes can happen — particularly because of the fast pace. How can you catch the errors? In this article, Qnex transcription describes how to perform transcription proofreading.

Why Proofread?

As the saying goes, “Everyone makes mistakes.” Because business transcription is not immune to errors, transcription proofreading serves as a “safety net” to catch the errors before the client receives the final document — improving accuracy, consistency, punctuation, grammar and spelling in the process.
An experienced transcription proofreader should perform the following tasks:
  • Eliminates repetition
  • Corrects words used in the wrong context
  • Removes filler words such as “Ahh” and “Well”
  • Provides a seasoned set of eyes for a “second look”
Proofreading of business transcripts adds value by making an overall review of error sources involving consistency and clarity — especially critical for longer transcripts.

How to Proofread Transcriptions

While many individuals are adept at proofreading text files before finalizing a document, transcription proofreading involves different skills — watching video files or listening to audio files. A typical approach to transcription proofreading involves listening to the same video or audio file used to formulate the original transcription. In addition, the transcription proofreader is responsible for the following tasks:
  1. Performs the final quality check
  2. Formats the document as stipulated by the client — for example, specific fonts, paragraph headers and adding or removing page numbers
  3. Fills in any missing phrases or words overlooked by the original transcriptionist
  4. Checks for textual mistakes and grammatical errors

The Benefits of Careful Re listening

As someone once observed, “You can learn a lot by listening.” When transcribing a recording, there are also significant benefits that accrue from listening again.
With transcribing there is often a temptation to either eliminate or reduce the time and effort dedicated to transcription proofreading. While considerations such as transcription cost vs quality and maximum output in minimum time must be taken into account, business owners and managers should not overlook the value of producing a business transcript that represents your company positively — eliminating mistakes and errors wherever possible.
Above all, avoid treating the step of transcription proofreading as a “rubber stamp” of the earlier transcription. Make sure that you assign dedicated listeners and proofreaders in order to improve the transcription.

The Business Value of Transcription Proofreading

Both business transcription and transcription proofreading are more difficult than often realized by corporate leaders and managers. First and foremost, digital recordings are almost always subject to a wide variety of challenges — use of scientific terms, unusual names, multiple speakers (often speaking at the same time), accents, speaking in inaudible tones, unclear voices, background noise and variable audio quality.
Second, even experienced transcriptionists are likely to make mistakes due to typing at a high speed. How will you catch the errors without transcription proofreading?
Third, transcripts often represent “informal minutes” of important business functions such as presentations, conferences and interviews. Stakeholders such as clients, employees, investors and suppliers will often use a business transcript to form their impression of your company. What are your transcripts saying about your business image and quality?

Proofreading Is a Skill

Like many skills, transcription proofreading is acquired and honed through constant practice. This is one of the major benefits derived by working with an experienced global transcription expert such as Qnex transcriptions — business transcribing is what we do for a living! We have a dedicated professional team of business transcribers.
